How to make an invoice

  1. Add your details — your business name, address and email, and your logo if you have one.
  2. Add your client — who you are billing, with their address.
  3. Set the invoice number and dates — use a new number for every invoice (INV-0001, INV-0002…) and pick a due date. "Net 30" means the client has 30 days to pay.
  4. List the work — one line per service or product, with quantity and rate. The amounts and total update as you type.
  5. Add tax, discount or a deposit if they apply, plus your payment details (bank, PayPal, Zelle…).
  6. Download as PDF to email it, or as Word or Excel if you want to edit it later. The Excel file keeps working formulas, and it opens in Google Sheets too.

Your invoice is saved in this browser automatically, so you can close the page and come back to it.

Invoice templates for your trade

Want a head start? Our invoice templates by trade open this editor with typical line items already filled in — for example for contractors, photographers, consultants, cleaning services and hourly work.

Set aside money for tax

Freelancers in the US don't have tax taken out of their pay, so a share of every invoice belongs to the IRS. Self-employment tax alone is 15.3% on 92.35% of your profit — about 14.1% — before any income tax. Many freelancers move 25–30% of each payment into a separate savings account. Our 1099 tax calculator works out your exact figure.

Frequently asked questions

Is this invoice generator really free?

Yes. You can make and download as many invoices as you like, with no account, no limit and no watermark.

Do you store my invoices?

No. Everything you type stays in your own browser. It is saved there so you don't lose your work, but it is never sent to us. Clearing your browser data removes it.

Yes. Click "Add logo" and choose a JPG or PNG file. It appears on the preview and in the PDF.

Which currencies can I use?

US dollars, euros, British pounds, Canadian and Australian dollars and many more. Pick your currency in the Options section.

What if I made a mistake on an invoice I've already sent?

Don't edit it — issue a credit note instead. Open the invoice and click Issue credit note: the client, lines and invoice number carry over to our credit note template, where you keep just the amount you're crediting.

Can I make an invoice in Spanish?

Yes. Under Options → Document language, pick Español and the invoice is printed in Spanish ("Factura", "Facturar a", "Saldo a pagar"). There's also a full Spanish version of this page — factura en español.

Can I add VAT, GST or withholding tax?

Yes. Enter the rate under Tax & discounts. When you pick a currency, the tax name changes to match (VAT for baht or pounds, GST for Australian dollars) and we show the standard rate — only charge it if you're registered. If your client deducts tax before paying you, such as the 3% withholding tax on services in Thailand, enter it under Withholding tax: it's taken off the amount due.

Can I edit the invoice later in Word or Excel?

Yes. Download the Word file to edit it like a normal document, or the Excel file, which keeps working formulas for the amounts and totals. Excel files also open in Google Sheets and Apple Numbers.

What is the difference between an invoice and a receipt?

An invoice asks for payment. A receipt confirms that a payment was made. Once you've been paid, click Create a receipt and the invoice details carry over to our receipt generator.

Can I turn a quote into an invoice?

Yes. Make the quote with our quote template or estimate template, and click Convert to invoice when the client says yes — the client and line items carry over, nothing to retype.
